BOARD OF DIRECTORS MEETING
MARINERS COVE BAY CLUB

Monday, November 16, 2009 @ 7pm

On-site, club house

 

Present:  President Jo Ann Kocher, VP Garret Pick, Treasurer Chris Worrall, Secretary Kristi Lundell, Jeni Brians, Herb Wheatman, Ron McClair, Laurie McCrary


Excused Absent:  Walt Johnson

 

Guests:  Joe Barros, Jill Wheatman, Dick Johnson

 

Meeting called to order:  7:10pm by Jo Ann Kocher

 

Approval of the minutes from the August 17, 2009 meeting: Motion by Jeni Brians to approve, seconded by Laurie McCrary and unanimously agreed to by all present. 

 

Manager’s Report:  see attached

Additions to report: 

1.  Two pool lights were changed

2.  Insurance inspection happened this morning

3.  217 pool FOBs are activated

4.  Jo Ann Kocher will contact owners for the 2-3 FOBs that are currently issued to renters

5.  Herb Wheatman will work on wording for the signs that will be posted regarding parking for boaters

6.  Joe Barros will put up Christmas tree and also outside lights after he purchases them

7.  New fire extinguishers and smoke alarms have been purchased and installed

 

Review/Approval of Financials for 8/2009 through 10/2009:

Motion to approve financials for 5/2009-7/2009 was made by Ron McClair , seconded by Garret Pick, and unanimously agreed to by all present. 

 

Financial Report:

  1. Chris Worrall reviewed reserve analysis for routine maintenance of property. 
  2. Variance report is provided by John Brewer each month.

 

Old Business:

  1. Jill Wheatman from Insurance Factors was selected as our new insurance provider.  Voting was done by e-mail and verified verbally by Jo Ann Kocher via telephone.  Vote results:  Insurance Factors 3, Insurance Assoc. 2, Atlas 1.  Jill Wheatman will provide estimates for an appraisal and flood insurance.  We need to make sure that hired sub-contractors are licensed and insured (must present a certificate of insurance).  Jill will also look into bouncy houses and liability associated with them. Workman’s Comp rates will be provided by Jill in two weeks. 
  2. Laurie McCrary will contact Professional Landscaper to ask about concreting blue rock area, considering drainage concerns, and planting a few plants as she feels appropriate.  Estimate will be shared at next meeting.
  3. Improvements and repair to the boat dock have been completed.  Users seem very pleased with the results. 
  4. Four of the revised boat storage agreements have not yet been signed and returned.  Jo Ann Kocher will follow up with another letter to those individuals advising them they will lose their boat storage privileges if they do not return the forms.
  5. Professional Reserve Study Analysis is being recommended by John Brewer, which ranges in price from $1,500-$3,000.  They may be able to do the property appraisal as well.  Ron McClair moved for Jo Ann Kocher to ask Hawaiian Properties to solicit three proposals for a Reserve Study Analysis seconded by Kristi Lundell, and unanimously agreed to by all present. 
  6. Review of bylaws:  Cost would be $2,500-$3,500.  Most Associations have decided against reviewing their bylaws.  Herb Wheatman to read through details and discuss at next meeting. 

 

New Business:

  1. Sunday parties:  Kristi Lundell suggested allowing Sunday parties from 11am-2pm.   A motion to allow Sunday parties (every other week) from 11am-2pm for a trial period of January-March, 2010 was made by Kristi Lundell and seconded by Jeni Brians.   No:  4   Yes:  3  Abstain:  1 
  2. Laurie McCrary will call John Brewer to see if other pool/rec centers charge for parties.  Jo Ann Kocher will post a forum on our website to see what the community feedback is on Sunday parties.

  1. Christmas party:  no party this year as Saturdays are all booked
  2. Garage Sale:  2nd Saturday in May
  3. Jo Ann Kocher to work on a newsletter will go out with December mailer

 

Reserve Analysis and Approval of 2010 Budget:

Jo Ann Kocher to send out e-mail in a few days after we’ve each had a chance to review the budget.  Vote must be unanimous or we may have a short meeting next week to review.
